Ensuring Consistency in Your Writing
Before submitting or distributing your essay, research report, email, or any other document, besides performing the usual spell checking and proofreading, you should make certain that your writing is consistent in terms of spellings, usages, and formatting. This is important for two reasons: it helps to guarantee the clarity of your message and it lends an appearance of professionalism to your document.
If, for example, you refer to “theatres” in one part of your paper, you should not use “theaters” in another section. Neither should you vary from “U.S.A.” to “USA” or from “Prof.” to “Professor.” This also applies to names. For example, be careful to spell “Thompson” the same way throughout your paper, and not as “Thomson” and “Tompson.”
You should also make sure you are consistent in reference to your use of numerals and letters in lists. If you use a numbered or lettered list in one section of your paper, maintain that usage later on. You must also be consistent in reference to your use of capital and lower case letters in titles and lists and headings. For example, you may decide to use all capitals in headings and titles, except for articles and prepositions (assuming this is in accordance with the formatting style you are using), as in the following: Some of the Causes of the Civil War. Therefore, similar subsequent headings should be written according to that style. And so, the following would be incorrect: Early battles during the first months of the war.
Consistency applies to spacing and paragraphing too. You should use the same number of spaces between sentences. The common practice is to insert one space between sentences, but two is also acceptable. Of course, if you use block formatting (where all lines of text end at the right margin), then the spaces between sentences (and between words) will vary.
In addition, you should make sure that all of your paragraphs begin in the same formatting manner: that is indented or left justified, and not a mixture of both styles.
Consistency applies to citations and references lists. Do not vary between MLA, APA, Chicago, and other formatting styles. Choose one, and use only that one.
In short, to ensure that your written work represents your best efforts, you must maintain consistency at all times.

Appropriateness
In order to make your writing more professional , you have to make your document appropriate to your goals in writing it, your audience's purpose in reading it, and the specific institutional contexts in which it is written and read.
Because a reader's knowledge or experience determines the level of comprehension of technical material, appropriateness is largely determined by your audience. For example, a fact expressed in a mathematical equation may not be effective in a report addressed to a managerial audience. See Document Density.
All technical writing should also be appropriate to the specific institutional context that motivated its creation. It should not only serve the writer's and the reader's purposes but also conform to the goals and conventions of the institution in which it exists. Institutional goals and conventions are sometimes clear and explicit. For example, in large companies, the specific goals of various documents, as well as the preferred form and style, are often described in company correspondence and style manuals.
Although the context is not always clearly delineated, it always can be worked out. Class work should be done within the context of the goals of the class as well as the specific assignment. Research reports should conform to the general goals and specific conventions of the scientific or technical community in which they are created.

Correctness:
Spelling, Punctuation, Grammar & Style
Spelling, punctuation, grammar and style are often the primary concern of many writers—that's a holdover from school days where teachers emphasized "correctness".
In actual fact, a writer's first concern should be fluency—developing the ideas of any piece of writing. The second concern then becomes clarity—making the writing make sense to others. Finally comes correctness—making the text conform to the conventions of standard written English.
In other words, the developmental sequence for any piece of writing ought to be:
fluency
clarity
correctness
These three dimensions, of course, continually overlap; even experienced writers can have problems with fluency—particularly when writing on a new topic or in a new genre. Under those circumstances, focusing on correctness won't help with the problem; what you have to do is focus on invention and shaping ideas.
Once you have your ideas sorted out, the writing more or less clear, it does become appropriate, even mandatory, to think about the conventions of standard written English—to proofread to make sure spelling is correct, that grammar is conventional, that punctuation aids in making meaning, that word usage (or style) is acceptable.
